How we handle your information

This policy explains how DhronAI Technologies Pvt. Ltd. (“DhronAI”, “we”, “us”) handles personal information when you visit dhronai.com, fill in our contact form, apply through our careers page, or interact with us by email or LinkedIn.

We collect only the minimum needed to respond to you, evaluate candidates, and operate the website.

• Contact form submissions — name, company, email, and the message you send. Delivered to our inbox via EmailJS; not stored in a public database.
• Job applications — name, email, contact details, résumé, and any other information you choose to submit. Stored in our internal applicant database.
• Direct correspondence — if you email us or message us on LinkedIn, the contents of that thread.
• Basic technical telemetry — standard server logs (IP address, user agent, requested page, timestamp) used to keep the site reliable and detect abuse.

We do not place advertising cookies, profile visitors across third-party sites, or sell personal data to anyone.

Information you give us is used solely to:

• Reply to your enquiry, schedule a call, or scope an engagement.
• Evaluate your application and conduct interviews when you apply for a role.
• Send you a follow-up only when you have explicitly invited one.
• Detect and prevent abuse of our infrastructure.
• Comply with legal or regulatory obligations applicable to us.

We do not use your information to train models or build behavioural profiles.

DhronAI’s platforms (AI-Inicio, Dhron ERP, ReconcilePro, DhronEYE, Lescall) are designed to run inside your infrastructure — cloud, on-premises, or air-gapped. By design:

• Data processed by our software stays inside your environment.
• No telemetry, model output, or prompt content is sent back to DhronAI in normal operation.
• If you opt in to a managed support tier, the precise data handled by us is documented in a separate Data Processing Agreement (DPA) signed alongside the commercial agreement.

We share personal information only with the limited set of vendors required to run the website and respond to you, under contract and on a need-to-know basis:

• EmailJS — relays contact form submissions to our team inbox.
• Google Cloud / Cloud Storage — hosts the marketing site, blog content, and uploaded media.
• Our email and calendaring providers — used by team members to reply to you.

We do not transfer personal data to advertising networks or data brokers. We may disclose information when required by law or to protect the rights, property, or safety of DhronAI, its customers, or the public.

• Contact enquiries — up to 24 months after the last interaction, then deleted unless an active engagement exists.
• Job applications — retained for the duration of the hiring cycle plus 12 months in case a similar role opens up. Deleted on request.
• Server logs — rotated within 90 days.
• Customer commercial records — retained for the period required by tax, accounting, and contract law.

Subject to applicable law (including India’s DPDP Act 2023, the EU GDPR, and the UK GDPR where they apply to you), you may:

• Ask for a copy of the personal information we hold about you.
• Ask us to correct anything inaccurate.
• Ask us to delete your information when we no longer have a legitimate basis to retain it.
• Withdraw consent for any processing that relies on consent.
• Object to processing based on our legitimate interests.
• Lodge a complaint with the data protection authority in your jurisdiction.

We protect personal information using practical technical and organisational measures — encrypted transport (TLS), restricted access, hardened infrastructure, and audit logging on administrative actions. Internally, access to applicant data and customer correspondence is limited to team members who need it for their role.

No system is perfectly secure. If a breach affects you, we will notify you and the relevant authority as required by law.

DhronAI is headquartered in India. If you are based outside India, your information will be transferred to and processed by us and our service providers in jurisdictions whose data protection laws may differ from yours. Where required, we use standard contractual clauses or equivalent safeguards.

DhronAI’s services are intended for businesses and adults. We do not knowingly collect personal information from children under 18. If you believe a minor has submitted information to us, contact us and we will delete it.

We may revise this policy as our practices or the law evolve. The “Effective” date at the top of this page reflects the current version. Material changes will be highlighted on the website for at least 14 days before they take effect.
